I. Cancellation Policy
1. Client-Initiated Cancellation
Due to the nature of event planning and advance operational commitments, cancellations are subject to the following terms upon providing valid and justifiable reasons, subject to Hydex's review and approval:
1.1 Cancellation 30 days or more prior to the event
- The client may cancel the booking.
- 80% of the total paid amount will be refunded.
- Administrative, platform, and operational fees are non-refundable.
1.2 Cancellation between 15 and 29 days prior
- 50% of the total paid amount will be refunded.
- Any incurred costs will be deducted.
1.3 Cancellation between 7 and 14 days prior
- 25% of the total paid amount will be refunded.
- No additional costs shall be reimbursed.
1.4 Cancellation less than 7 days prior
- No refunds shall be issued.
- 100% of the booking value shall be charged.
2. Cancellation by Hydex
Hydex reserves the right to cancel or modify events due to force majeure or circumstances beyond its reasonable control, including governmental actions, security concerns, natural disasters, operational failures, or minimum capacity requirements. In such cases, the client shall have the option to receive either Hydex platform credits or a refund to the original payment method, subject to platform feasibility and payment provider approval. Hydex shall not be obligated to issue immediate cash refunds where alternative remedies are reasonably provided.
II. Rescheduling Policy
1. Rescheduling Requests
- One rescheduling request per booking is permitted.
- Requests must be submitted at least:
- 14 days prior for major events.
- 7 days prior for smaller experiences.
2. Rescheduling Conditions
- Subject to availability.
- Additional fees may apply due to price differences or operational costs.
- Refusal of available alternatives shall be treated as a cancellation.
III. No-Show Policy
Failure to attend or utilize the booked service without prior notice shall be deemed a No-Show, resulting in:
- Automatic cancellation.
- No refund or compensation.
- Full charge of 100% of the booking value.
General Provisions
- All pre-incurred costs, including venues, permits, equipment, staffing, and suppliers, are non-refundable.
- Refunds, if applicable, are processed within 14 business days via the original payment method.
- Use of the Hydex platform constitutes full acceptance of this policy.
